1. Who We Are
WCAP Detailing Inc. ("WCAP", "we", "us", "our") is a fully mobile detailing company operating in Halifax, Dartmouth, Bedford, Sackville, and the broader Halifax Regional Municipality (HRM), Nova Scotia, Canada. This Privacy Policy describes how we collect, use, disclose, and protect personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA), and applicable Nova Scotia privacy legislation.
By using our website (wcapdetailing.com) or booking a service, you acknowledge that you have read this policy and consent to the collection, use, and disclosure of your personal information as described herein.
2. Information We Collect
We collect only what is necessary to provide and improve our services. This includes:
a) Information you provide directly
- Full name, email address, phone number, and civic address (including postal code) when submitting a booking request.
- Vehicle type and selected service package.
- Optional notes such as parking instructions or special requests.
- Communications you send us directly by email, phone, or text at info@wcapdetailing.com or (902) 536-3404.
b) Information collected automatically
- Vercel (cookieless): Our website host (Vercel Inc., USA) automatically captures anonymized technical data including page views and performance metrics. This data contains no personally identifiable information and does not use cookies. No consent is required for this processing.
- Address autocomplete: When you type your address in the booking form, each keystroke is transmitted in real time to Google's Places API (Google LLC, USA) to generate autocomplete suggestions. This constitutes a cross-border transfer of data to the United States and is subject to Google's Privacy Policy.
- Ad conversion measurement (with consent only): If you click "Accept" on our cookie consent banner, we load Google advertising tags that allow us to measure whether a completed booking resulted from one of our Google Ads. These tags may set short-lived cookies used solely to link a booking back to an ad click. If you click "Decline" or take no action, no such tags are loaded and no advertising cookies are set.
c) Information from service partners
- Booking status and payment confirmation data from Square Inc. (USA).
3. Cookies & Your Consent
We display a cookie consent banner on your first visit to our website. We do not set any advertising or tracking cookies before you make a choice:
- If you click "Accept": Google advertising tags load and may set short-lived cookies used solely to attribute completed bookings to our Google Ads campaigns.
- If you click "Decline" or ignore the banner: No advertising cookies are set. Vercel's cookieless performance monitoring continues as it does not require consent.
- Changing your mind: You can clear your browser's local storage or cookies at any time to reset your consent preference. The banner will reappear on your next visit.
We do not use Google Analytics for audience analytics or behavioural profiling. Our ad tags are used exclusively to measure booking conversions and are never used to build advertising profiles about individual users beyond what Google's standard ad measurement service entails.
4. How We Use Your Information
- Schedule, confirm, and manage your mobile detailing appointment.
- Send a transactional booking confirmation email to your provided address via Resend Inc. (USA).
- Maintain an internal backup record of bookings in a secured Google Sheets document (Google LLC, USA) for operational and tax purposes.
- Process payments securely through Square Inc. (USA) or verify e-transfers.
- Respond to inquiries, provide support, and resolve disputes.
- Comply with legal, insurance, and tax requirements.
- Send promotional messages, seasonal offers, and service updates by email or text — only if you have given us express consent to do so at the time of booking (see Section 8).
- Measure the effectiveness of our Google Ads campaigns (only if you have consented to ad measurement cookies).
5. How We Share Information & Cross-Border Transfers
We never sell your personal information. We share data only as necessary to deliver our services with the following trusted processors, all of which are based in the United States. By using our site, you consent to this cross-border transfer as required under PIPEDA s. 4.1.3. Each processor is contractually bound to protect your data to standards comparable to Canadian privacy law:
- Square Inc. (USA): Booking scheduling and payment processing.
- Resend Inc. (USA): Transactional booking confirmation emails.
- Google LLC (USA): Address autocomplete via Places API (all users); Google Sheets for booking record backup (all users); Google Tag and Google Ads conversion measurement (consenting users only).
- Vercel Inc. (USA): Website hosting and anonymized performance monitoring.
- Professional advisors: Accountants, legal counsel, or insurers, only as required by law or to respond to a valid legal claim.
6. Payment & Financial Data
All card transactions are processed by Square Inc. using tokenization and industry-standard encryption. We do not store, handle, or have access to your full card number, CVV, or banking details. We retain invoice totals and booking records for up to seven years for tax compliance under the Income Tax Act (Canada).
7. Data Storage & Retention
Personal information collected at booking is stored across our secure service providers (Square, Vercel, Google Sheets, encrypted email archives via Resend). We retain service records for up to seven (7) years to meet our legal obligations under Canadian tax law. After this period, records are deleted or anonymized. You may request earlier deletion of your personal data (see Section 9).
8. Marketing Communications & CASL
Transactional messages (no consent required)
Every customer automatically receives a booking confirmation email after a completed booking request. This message confirms your appointment details and is a transactional communication exempt from the express-consent requirements of Canada's Anti-Spam Legislation (CASL).
Marketing messages (express consent required)
During the booking process, you are given the option to opt in to receive promotional messages from WCAP by email and/or text (SMS). This includes seasonal offers, detailing tips, re-booking reminders, and special promotions.
- Opt-in is voluntary. The checkbox on our booking form is unchecked by default. Ticking it constitutes your express consent under CASL.
- What we record. When you opt in, we record your name, contact details, consent timestamp, and the channel (email and/or text).
- Withdrawing consent. You can unsubscribe at any time by replying STOP to any text, clicking the unsubscribe link in any email, or contacting us at info@wcapdetailing.com. We will honour your request within 10 business days as required by CASL.
- We never sell your contact details to third parties for their marketing purposes.
9. Your Rights Under PIPEDA
As an individual whose personal information we hold, you have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Ask us to correct inaccurate or incomplete information.
- Deletion: Request that we delete your personal information, subject to our legal retention obligations.
- Withdrawal of consent: Withdraw consent to non-essential data processing (such as ad measurement cookies) at any time.
To exercise any of these rights, contact us in writing. We will respond within 30 days of receiving your request.
10. Keeping Information Secure
We limit access to your personal information to only those personnel and service providers who require it to perform their role. All data in transit is protected by TLS/HTTPS encryption. While no method of transmission over the internet is 100% secure, we use industry-standard safeguards and regularly review our practices to protect your information from unauthorized access, disclosure, or misuse.
11. Children's Privacy
Our services are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will update the "Last Updated" date at the top of this page. Continued use of our website after a material change constitutes acceptance of the revised policy. We encourage you to review this page periodically.
